This Refund Policy ("Policy") governs all purchases, subscriptions, credits, and payments made on the HaloVoice platform operated by S2 Data Systems ("HaloVoice", "Company", "we", "us", "our"). By subscribing to any plan, purchasing credits, or making any payment on the Platform, you acknowledge that you have read, understood, and agree to this Refund Policy in its entirety. This Policy applies to all users globally, including those in India, the United States, and all other jurisdictions.
ALL FEES, CHARGES, AND PAYMENTS MADE TO HALOVOICE ARE STRICTLY NON-REFUNDABLE. Once a payment is successfully processed, no refunds, credits, pro-rated adjustments, or chargebacks will be issued under any circumstances, including but not limited to: (a) cancellation of your subscription before the end of a billing cycle; (b) unused minutes, agent slots, phone numbers, or any other resources included in your plan; (c) downgrading from a higher-tier plan to a lower-tier plan; (d) dissatisfaction with the Platform, its features, or its performance; (e) failure to use the Platform during any billing period; (f) service outages, scheduled maintenance, or temporary interruptions; (g) changes to Platform features, functionality, or pricing; (h) errors or inaccuracies in AI-generated outputs or call handling; (i) account suspension or termination due to violation of our Terms of Service; or (j) any other reason whatsoever.
You acknowledge that HaloVoice is a business-to-business (B2B) software-as-a-service platform designed for commercial use. By subscribing, you represent that you are acting in a business or professional capacity and not as an individual consumer. To the extent that consumer protection laws in your jurisdiction provide mandatory refund rights that cannot be waived by contract, those rights shall apply. In jurisdictions where consumer protection laws require refund provisions for material failure to deliver services, HaloVoice will comply with the minimum requirements of applicable law. Nothing in this Policy is intended to exclude or limit rights that cannot be lawfully excluded or limited.
HaloVoice offers monthly subscription plans (Pilot, Explore, Growth, Scale, and Enterprise). Each plan includes a set number of minutes, agents, and phone numbers. Your subscription is billed at the beginning of each billing cycle and automatically renews at the then-current rate unless cancelled before the renewal date. You are responsible for all charges incurred during each billing cycle regardless of usage. Upgrading your plan takes effect immediately, and you will be charged the prorated difference for the remainder of the billing cycle. Downgrading your plan takes effect at the start of the next billing cycle; no refunds or credits are issued for the difference.
If your usage exceeds the minutes included in your plan during a billing cycle, overage charges will apply at the per-minute overage rate specified for your plan. Overage charges are calculated and billed automatically. Overage charges are non-refundable once incurred, regardless of whether the overage was caused by expected or unexpected call volume, misconfigured agents, or any other reason. It is your sole responsibility to monitor your usage and manage your plan limits through the Platform dashboard.
Any prepaid credits, wallet balances, or prepaid minutes purchased on the Platform are strictly non-refundable, non-transferable, and cannot be redeemed for cash under any circumstances. Prepaid credits expire immediately upon account termination, whether initiated by you or by HaloVoice, and no compensation or refund shall be provided for unused credits. Credits have no cash value and may not be sold, bartered, exchanged, or transferred to any other account, user, or entity.
You may cancel your subscription at any time through your account settings or by contacting support@halovoice.in. Upon cancellation: (a) your subscription remains active until the end of the current billing period; (b) you will continue to have full access to the Platform and all plan features until the billing period ends; (c) no refunds or pro-rated credits will be issued for the remaining days in the current billing period; (d) any unused minutes, credits, or resources will be forfeited at the end of the billing period; (e) your data will be retained for 30 days after the billing period ends, after which it may be permanently deleted; and (f) you are responsible for all charges incurred prior to the effective cancellation date.
In the event that the HaloVoice Platform experiences an unscheduled, continuous outage exceeding 72 hours that is solely attributable to HaloVoice infrastructure (and not caused by third-party service providers, force majeure events, scheduled maintenance, or user-side issues), affected users on active paid plans may request a service credit. Service credits, if granted, shall be calculated as a pro-rated credit for the affected days only, applied to the next billing cycle, and shall not exceed one month's subscription fee. Service credits are the sole and exclusive remedy for service outages. Service credits do not constitute a refund and have no cash value. Requests must be submitted to support@halovoice.in within 15 days of the outage. HaloVoice reserves the sole discretion to determine whether an outage qualifies for a service credit.
If HaloVoice offers a free trial, you will not be charged during the trial period. If you do not cancel before the trial period ends, your account will automatically convert to a paid subscription at the plan rate you selected during signup. Once the first payment is processed after the trial period, it is non-refundable. It is your sole responsibility to cancel before the trial ends if you do not wish to be charged.
Initiating a chargeback, payment dispute, or payment reversal with your bank, credit card company, or payment provider without first attempting to resolve the issue directly with HaloVoice at support@halovoice.in shall result in: (a) immediate and permanent termination of your account; (b) forfeiture of all data, credits, balances, and access; (c) potential collection actions for the disputed amount plus all associated fees and costs; and (d) a ban from creating new accounts on the Platform. You agree that any chargeback initiated without prior good-faith communication with HaloVoice constitutes a breach of this Policy and the Terms of Service. If you believe a charge is incorrect, please contact support@halovoice.in within 15 days of the billing date.
In rare and exceptional circumstances, HaloVoice may, at its sole and absolute discretion, consider a refund or service credit. Such circumstances may include: (a) duplicate charges resulting from a verified technical error in our billing system; or (b) charges processed after a confirmed cancellation due to a system error on our end. Any such refund or credit is entirely at the discretion of HaloVoice and does not create a precedent or obligation for future requests. To request a review, contact support@halovoice.in with your account details, transaction ID, and a detailed description of the issue within 15 days of the charge.
HaloVoice reserves the right to change pricing, fees, plan features, or billing terms at any time. We will provide at least thirty (30) days written notice before any pricing change takes effect. If you do not agree with the new pricing, you may cancel your subscription before the new pricing applies. Continued use of the Platform after a pricing change constitutes acceptance of the updated pricing. Refunds will not be issued due to pricing changes.
This Refund Policy is governed by and construed in accordance with the laws of India, with exclusive jurisdiction in the courts of Pune, Maharashtra, subject to the arbitration provisions in our Terms of Service. For users in jurisdictions where mandatory consumer protection laws provide additional rights, those laws shall apply to the extent they cannot be contractually waived. Notwithstanding the foregoing, HaloVoice's total liability for any refund claim shall not exceed the amount paid by the user for the specific billing period in question.
Any refund dispute, claim, or proceeding shall be conducted on an individual basis only. You expressly waive the right to participate in any class action, class arbitration, representative action, or consolidated proceeding related to refunds, billing, charges, or payments. If this waiver is found unenforceable in your jurisdiction, the dispute shall proceed individually in the courts of competent jurisdiction.
This Refund Policy, together with the Terms of Service and Privacy Policy, constitutes the entire agreement between you and HaloVoice regarding refunds, cancellations, and billing. This Policy supersedes all prior agreements, understandings, or representations related to refunds. No employee, agent, or representative of HaloVoice is authorized to make any verbal or written commitment to provide a refund outside the terms stated in this Policy. Any such commitment, if made, shall be void and unenforceable.
